Gallery Assistant provides general reception duties at front desk as well as support and administrative assistance to the gallery owner and staff on a day-to-day basis. This individual assists with managing the Owner and Directors’ correspondence, travel, and calendar, in addition to administrative projects related to client relations, PR, social media marketing, and event planning.
Responsibilities
Administrative Support:
- Manage reception area, greet guests, and track attendance figures
- Answer phone and manage phone system. Screen and respond to incoming calls, distribute phone messages. Update gallery voicemail based on the exhibition schedule
- Perform clerical duties such as filing, typing, mailing, and copying documents
- Manage Owner’s and Director’s calendar, schedule appointments and help ensure that meetings and calls are attended to. Proactively maintain and manage owner’s call list, including regular reminders
- Arrange travel plans and itineraries, compile documents for travel-related meetings, and accompany supervisors when requested
- Prepare materials for client meetings, openings, and art fairs as requested
- Maintain the gallery’s book library
Assist the Directors with the following PR and event support:
- Assist with planning PR strategies, preparing material and updating social media
- Assist Directors with sending out event invitations and monitoring RSVPs and attendance
- Events: Liaise with catering and event vendors. Set up, and clean after events
Client Relations:
- Correspond with clients on behalf of Owner and Directors
- Greet Owner’s and Directors’ clients—have friendly and professional demeanor
- Help install and prepare works for private viewings and events
Requirements
- Bachelor’s degree in art history, art business, or related subjects
- Must be a self starter and work well in small team environment
- Excellent written & verbal communication skills
- Excellent organization and problem solving skills
- Interest and knowledge of contemporary art
- Experience in basic design; familiarity with Adobe Creative Suite
- Experience with Art Systems database management
