Description
International art advisory with offices in Los Angeles and Europe is seeking an extremely organized, detail-oriented, Los Angeles-based candidate to fill the position of Administrative Assistant. The Los Angeles-based Administrative Assistant’s main role is to assist the Principal Art Advisor/Founder and the Los Angeles Director of Sales. As part of a small team, the position offers ample opportunity to learn and grow, and requires flexibility and a collaborative, cooperative, upbeat attitude. Ideal candidate is interested in a longer term commitment.
Responsibilities
The candidate for the Los Angeles-based Administrative Associate will be responsible for the following, but is not limited to:
- Assist with daily administrative duties such as:
- Inputting calendar events and notifications
- RSVP for events, input addresses and other relevant information into calendar
- Filing information and documents in client databases
- Ensure client collections spreadsheets are up to date
- Track and log artwork movements
- Taking and logging notes during and after client meetings
- Drafting emails to clients and contacts
- Social media interactions
- Inputting calendar events and notifications
- Support Principal and Director in the preparation and creation of sales materials
- Create presentations
- Log and create pdfs for auctions, register for lots
- Create artwork mockups and albums
- Request previews and information from galleries and other sources
- Assist with shipping, transport, installation, and other artwork logistics
- Gather quotes from shipping companies
- Coordinate drop off, pick up, installation with the galleries
- Correspond with art handlers for art installation and art handling
- Coordinate framing
- Coordinate with client for artwork installation
- Communicate with insurance
- Ensure all artwork movements are tracked and logged
- Maintaining a daily presence and office hours on site at the Los Angeles office, but also open to intermittent weekend or evening hours
- Receive shipments and mail at the office
- Run light errands when necessary
- Attend art fairs, gallery openings and other events as appropriate
Requirements
- The ideal candidate will be a good communicator who is self-motivated and extremely organized:
- Maintain a sense of discretion and confidentiality where appropriate
- Familiarity with Photoshop, Google Suite, Slack
- Previous art world knowledge beneficial but not required
- Fluency in French a plus
