Summer of Art Program Assistant

The Extension SOA Program Assistant is a fixed term position that will support and execute various important functions related to academic, programmatic, communications and operational aspects of Otis College Extension’s Summer of Art program. Through working directly with students, instructors, Otis staff, and the broader community, this position will play a vital role in the execution of the program. This position reports directly to the Summer of Art Program Manager.
This position requires physical presence on the Otis campus during office hours of 8:30am – 5pm, Monday through Friday. Working from home will be potentially permitted in certain situations, at the approval of Otis Extension staff. Must be available to work extended hours, including weekends, during summer months.

Responsibilities
- Assist with the planning, organization, and execution of Summer of Art.
- Serve as the main point of contact for all Extension student and instructor inquiries related to Summer of Art, as well as inquiries from interested families during the registration process. Escalating inquiries to other Otis College staff, as appropriate.
- Coordinate program needs and expectations directly with instructors.
- Supervise student worker and classroom assistant tasks.
- Prepare and maintain program documents, materials, and other supportive items.
- Assist with communication and outreach to parents, guardians, Otis staff and stakeholders on Summer of Art updates and issues.
- Coordinate the procurement and distribution of attendance rosters, grading rosters, course materials, informational materials, marketing materials, etc.
- Collaborate with other offices, departments, staff across the College.
- Adhere to FERPA and other federal and state laws/policies governing higher education.
- Troubleshoot instructor and student-specific problems, operational problems, and/or complaints that fall within established policies and procedures.
- Learn policies, procedures, and regulations affecting student registration and enrollment, and student privacy.
Requirements
- 1-3 years of experience working with youth in a formal educational setting.
Preferred Qualifications
- Art and design knowledge/skills
- Experience in education administration
