Description
Blum & Poe Los Angeles seeks a full-time Assistant Registrar with at least one year of experience working in a Registrar or Operations role at a gallery, museum, or arts institution to begin immediately. The ideal candidate must be detail-oriented, have strong organizational and multitasking skills, and be able to work well in a dynamic, multi-location environment. This person will work closely with the gallery’s Registrars, the Director of Logistics, and the Operations team.
Responsibilities
INVENTORY
- Oversee all incoming and outgoing general inventory artworks
- Enter general inventory artwork into the database and maintain the upkeep of records
- Manage and conduct condition reports for general inventory, filing all condition reports and condition report images in the server, and updating the database as necessary
- Oversee consignments for general inventory, including drawing up initial consignments, managing expirations, renewals, policies, returns, and alerting appropriate staff regarding expirations and renewals
- Oversee commissions including database entry, track and follow-up, and keeping the relevant staff and clientele informed
- Oversee and coordinate general inventory artwork conservation, ensure safe care and handling of artworks, and inform the appropriate staff as necessary
- Track artwork reserves and sales alongside Registrars
- Send monthly artwork reserve reports to the principal’s and relevant staff, reflect any changes in the database
- Work with the Photography Coordinator in ensuring all general inventory works are professionally photographed, filed in server, and uploaded to the database
- Inform relevant staff regarding new inventory updates
- Conduct annual physical inventory at all storage facilities and work closely with the Registrar overseeing the project
- Conduct studio returns working closely with the Registrar overseeing the project
GENERAL
- Track internal location updates, inform relevant parties and reflect updates in the database
- Generate, track, and archive COAs into physical files and the server
- Assist with the annual insurance policy renewal working closely with the Registrar and Director of Finance
- Liaise with the Director of Logistics in regards to shipping plans and assist with organizing transit of incoming and outgoing artworks and other gallery related shipments
- Oversee and generate installation manuals pertaining to general inventory alongside the Director of Operations and the Head Preparator
- File and organize digital and hard copies of shipping documents into the database and the server
- Conduct the annual Gallery Climate Coalition Carbon Report
- Offer general support for the Registrar’s
Requirements
- Minimum 1 year of experience working in a Registrar or Operations role at a gallery, museum or arts institution
- Bachelor’s degree
- Outstanding interpersonal, written, and verbal communication skills
- Proficiency with Microsoft Office, Adobe Creative Suite, and Filemaker Pro
- Familiarity with fine art handling best practices and condition reporting/conservation
- Must be a supportive team player, able to address new challenges, and maintain a level head under pressure
- Detail-oriented with strong organizational skills
- Ability to take initiative, multitask, and work graciously independently and collaboratively in a fast-paced, deadline-driven environment
- Strong sense of discretion and confidentiality
